Flexible working to deliver savings for East Lothian Council with corporate EDRM system from Civica
Civica, a market leader in specialist systems and business process services that help organisations around the world to transform the way they work, has been awarded a contract worth £300,000 by East Lothian Council to streamline key departmental processes in a far-reaching council-wide drive to adopt and support flexible working.
The council, which provides services to over 90,000 residents on the eastern border of Edinburgh, has adopted an ambitious corporate level programme. The first phase will be implemented in the HR and payroll departments by the end of this year.
The council required a more consistent approach to sharing resources and ensuring document security while improving levels of customer service and back office efficiencies.
To meet this need, Civica will deploy its electronic document and records management (EDRM) and workflow software systems, which will provide service and productivity improvements through streamlined processes which will also ensure enhanced information quality. Using the systems’ workflow, the HR department will be able to streamline its administrative workload and enforce the automatic filing of records that are compliant with national and international standards. As well as streamlined processes, the implementation will help the council enhance its capture of data and simplify its ongoing performance monitoring and analysis. It will also prepare the way for the council to adopt more flexible working practices in the future.
Bill Loughrey, managing director, local government & regulated markets, Civica, commented: “East Lothian is making fundamental changes to the way it works internally and delivers externally to become more agile and streamlined in its departmental processes. It is a great opportunity to be working on a project which will help improve customer service and increase cost efficiencies.”
Julie Caughey, finance manager, East Lothian Council, commented: “Civica’s tender showed strong experience of effectively implementing EDM corporately. We were also very impressed by a validation site visit and phone consultations with existing customers, which firmly established the benefits of a corporate document management and workflow system.”
