Flintshire County Council to streamline departmental processes with EDRM system from Civica

Civica, a market leader in specialist systems and business process services that help organisations around the world to transform the way they work, has been awarded a contract with Flintshire County Council to implement an electronic document and records management (EDRM) and workflow system. The new platform will help streamline common business processes across the entire council as part of wider ongoing transformation. With a number of North East Wales’ authorities also using Civica’s EDRM platforms, this new contract raises the prospect of collaboration in this area between all councils in the North Wales region.

The new Civica EDRM platform will enable the authority to support a planned property rationalistion scheme to further drive agile working and improve staff productivity in the future. Flintshire County Council can now enable flexible home working by allowing staff to access documents from anywhere whilst simultaneously managing the council’s operational needs. The new system’s workflow modules will improve management and allocation of overall workloads while enforcing rigorous filing of all records and reducing the resources needed for manual administration.

Flintshire County Council is part of the North Wales collaboration alongside Anglesey, Conwy, Denbighshire, Gwynedd and Wrexham Councils. Civica’s EDRM and workflow software gives the council the potential to develop more efficient business processes in conjunction with other North Wales Councils in order to support the future collaboration agenda. The authority required a more common and flexible approach to accommodate its agile working programme and facilitate an increase in departmental system efficiencies through mobile and flexible working.

Alun Kime, information governance manager, Flintshire County Council, commented: “To achieve cost efficiencies in the current economic climate, we require a transformation of our underlying processes to streamline operations, reduce staff time needed on administration and promote more flexible working. We were very impressed with Civica’s in-depth understanding of our needs and the technology became secondary to the process improvement.”

Bill Loughrey, managing director, local government & regulated markets, Civica, commented: “Our EDRM and workflow system will help Flintshire County Council to substantially streamline its processes. This creates the platform and opportunity to improve regional level collaboration among all councils in the North Wales region with reduced risk and simplified implementation. This could be vital for removing system duplications, for example when conducting fraud investigations.”

Civica’s EDRM and workflow system is helping local authorities to access, organise, control and distribute increasing volumes of information securely and efficiently across various departments, as well as improving productivity.
